Before you travel

Travel Planning Terms

Effective September 18, 2026

These website terms summarize important travel-planning responsibilities. A proposal, invoice, supplier confirmation or separate client agreement may include additional terms that control a specific booking.

Prices and availability

Travel prices and availability can change until a booking is confirmed and required payment is received. Quotes may be affected by taxes, fees, exchange rates, fuel surcharges and supplier changes.

Travel suppliers

Airlines, cruise lines, hotels, tour operators, insurers and other suppliers provide the travel services. Their contracts, rules, cancellation policies and limitations apply to the services they provide.

Traveler information

Travelers are responsible for reviewing confirmations promptly and ensuring that names, dates and other details are accurate. Names should match the travel documents that will be used.

Passports, visas and entry requirements

Travelers are responsible for valid passports, visas, entry authorizations, health documentation and any other requirements for every destination and transit point. Requirements can change. U.S. travelers should confirm current information with the U.S. Department of State and appropriate destination authorities.

Health, safety and accessibility

Travelers should review current health and safety guidance and tell us about mobility, dietary or accessibility needs early in the planning process. We can communicate requests, but a supplier must confirm what it can provide.

Cancellations, changes and refunds

Supplier cancellation and change penalties may apply and can increase as departure approaches. Some purchases may be nonrefundable. Refund timing and eligibility are controlled by the applicable supplier terms.

Travel insurance

Travel insurance is strongly encouraged because unexpected events can affect a trip. Policies vary, and travelers should review coverage, exclusions, deadlines and pre-existing-condition provisions carefully before purchasing.

Events beyond control

Weather, government action, labor disruption, illness, transportation changes and other events can affect travel. We will assist when reasonably possible, but we do not control suppliers or events outside our operations.
